New Position: Artistic Coordinator

Starting: 2022-2023 Season (as soon as possible)

Reports to: Choir Manager

Status: Non-exempt, full-time, 12-months, 40 hours per week

Position Summary

Serves as the assistant to the Choir Manager who is responsible for logistical planning and production details, communications with artistic staff and Choir families, and oversight of rehearsal and concert preparations. Works closely with the Administrative Coordinator to provide excellent customer service to our students, parents, volunteers, alumni, and the public, either in person, via email, or by phone. Provides support to all Choir functions with use of technology; adds to the positive atmosphere of the Choir Office.

Responsibilities and Work-Related Expectations

Customer Service

  • Answers inquiries, prepares correspondence, and conveys information about the Choir program
  • Assists with audition management including schedule, volunteer/staff assignments, parent/student communications and audition presentations and orientation
  • Assists with student, parent, director, volunteer, and staff needs, inquiries, and requests

Database and Communications

  • Maintains uniform inventory and other student records utilizing JackRabbit Class System
  • Generates signage, labels, nametags, file folders, etc. for ensemble rehearsals and performances
  • Creates and distributes correspondence to staff, choir members and families, as requested
  • Helps to create content for weekly memo (primary communication tool to parents).
  • Record student absences and missing music incoordination with ensemble assistants

Music Library Oversight, Licensing, Uniform Inventory and Maintenance

  • Maintain organized storage and inventory areas
  • Oversee extensive physical music library and master binder catalogue system
  • Prepare repertoire to scan to website; produce soundtracks to publish on SoundCloud
  • Identifying, and managing mechanical and synchronized licenses for SLCC recorded works; prepare quarterly music licensing reports
  • Coordinate the fittings, distribution, and collection of new and used uniform pieces; maintains vest, collar, robe inventory; creates communications with students, parents, and volunteers
  • Inventory upkeep of all SLCC recording equipment, merch, and other items in storage

Concert Production and Programs

  • Coordinate concert preparation including set up and take down, concert supplies, packing lists, uniforms, ensemble bin preparation, and venue load in and load out
  • Serve as technical assistant and backstage coordinator for Choir Manager
  • Coordinate needs of instrumentalists

Rehearsal, tours, and special events

  • Coordinate music prep, distribution, and collection for each semester
  • Backup substitute for an Ensemble Assistant in case of an emergency
  • Plan and assist with production and other tasks at special events as needed
  • Coordinate details for arrival, set-up, and performance time with each facility
  • Compile orientation info packets, itinerary/tour book
  • Assist with educational workshops, camps, and other events
  • Assist with school tours and domestic and international tour forms as needed
  • Assist with coordination of volunteers for various projects/concerts throughout season


  • Bachelor’s degree or minimum of 2 years related experience, arts administration preferred
  • Excellent verbal and written communication skills; proven organizational skills
  • Fully proficient in use of office equipment, Microsoft Office; MailMerge, MailChimp, a plus
  • Able to work independently as well as effectively as a team member
  • A sincere interest in working with a program focused on children
  • Demonstrates strong functional knowledge of event or tour planning
  • Willing to work evening and weekend hours during performance and audition season

Work Hours

During the season, typical office hours are 10am – 6 pm; summer hours 9 – 5. Our performance schedule involves evening and weekend work for concerts and special events. Competitive pay and generous benefits package. This is a full time, non-exempt, 12-month, 40 hour per week position.
